Privacy Policy

How QRXS collects, uses, shares and protects your information.

QRXS (“QRXS”, “we”, “us”, or “our”) is a QR-code based access-control service operated by Datascape Industrial (Pty) Ltd (90 Oxford Street, Ferndale, Randburg, Gauteng, South Africa). We are committed to protecting your privacy. This Privacy Policy explains how your personal information is collected, used, shared and protected when you use the QRXS mobile app, the qrxs.app website, and related services (together, the “Service”).

By creating an account or using the Service, you agree to the collection and use of information in accordance with this policy. We process personal information in line with South Africa’s Protection of Personal Information Act (POPIA), and apply equivalent protections (including the EU GDPR and California CCPA rights described below) as our baseline everywhere we operate.

Information we collect

We collect only what the Service needs to work:

  • Account information — the name, email address and/or phone number you provide when you register, and a securely hashed password.
  • Property information — the units, gates and access points you create or manage, any address you enter, and photos you choose to add.
  • Location — your device’s precise location, accessed only at the moment you tap to use it: to auto-fill a residence address, or to confirm you are at an entrance when opening a gate with a visitor pass. We do not access your location in the background.
  • Device & push tokens — a push-notification token for your device so we can deliver calls and alerts, plus basic device information needed to operate those features.
  • Call & access activity — metadata about calls and gate openings (time, the access point, and the parties involved) is logged for security and audit. Call audio and video are never recorded or stored — they are relayed in real time only.
  • Visitor scans — when a visitor scans a code, we record the time and which access point was scanned. No visitor personal data is collected by default.

How we use your information

  • To provide and operate the access-control Service and your account.
  • To connect calls, deliver notifications, and let residents open gates.
  • To confirm presence at an entrance when a visitor pass requires it.
  • To keep the Service secure and maintain an audit trail of access events.
  • To respond to your support requests.
  • To comply with legal obligations.

We do not use your information for advertising, and we do not send marketing emails unless you have explicitly asked us to.

How we share your information

We do not sell your personal information, and we do not share it with advertisers or ad networks. We share it only:

  • with trusted service providers who host and operate the platform on our behalf, under agreements that require them to protect it and use it only to provide those services to us;
  • with the property, complex or organisation you are a member of, to the extent needed to manage access (for example, your display name and the fact that you are reachable at a unit);
  • where required to do so by law, or to protect the rights, property or safety of our users, the public or Datascape Industrial;
  • as part of a merger, acquisition or sale of assets, in which case any successor remains bound by this policy.

Where your information is stored

QRXS data is hosted on our own, self-managed infrastructure. Datascape Industrial is based in South Africa; information may be processed or stored by us or our service providers in other countries. Where it is transferred across borders, we take steps to ensure it remains protected as described in this policy.

How long we keep it

We keep your information only for as long as we need it to provide the Service and to meet our legal and security obligations. When you delete your account, we close it and delete or anonymise your personal information, except where we are required to retain limited records (such as access-audit logs) by law.

Your privacy rights

Subject to applicable law, you have the right to access, correct, export, restrict or object to the processing of your personal information, and to delete it. In particular:

  • Access & correction — you can view and update your profile details in the app at any time.
  • Deletion — you can permanently delete your account from within the app (Profile & vehicles → Delete account), which closes it and removes your personal information as described above. You may also email us to request deletion.
  • No sale — we do not sell your personal information, and we will not discriminate against you for exercising any privacy right.

How we protect your information

We use administrative, technical and physical safeguards to protect your information, including encryption in transit (SSL/TLS) and secure on-device storage of authentication tokens. No method of transmission or storage is completely secure, so while we work hard to protect your information we cannot guarantee its absolute security.

Cookies & local storage

The qrxs.app website uses a small number of cookies and browser local storage to keep the site working (for example, to remember that you are signed in). The QRXS app stores your session securely on your device. We do not use cookies for advertising or cross-site tracking. Most browsers let you block or delete cookies, though some features may not work correctly if you do.

Children’s privacy

QRXS is intended for adults managing property access and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will remove it.

Changes to this policy

We may update this Privacy Policy from time to time so it accurately reflects the Service. When we make material changes we will update the “Last updated” date above and, where appropriate, notify you through the Service. Continued use of the Service after a change means you accept the updated policy.
